Terms and Conditions for Participation at BVL Supply Chain CX

How to register: 

Please use the online registration option to sign up. The following personal data is required for registration: last name, first name, company, position, address, contact details (e-mail address, telephone number). You will then receive a registration confirmation and invoice to the e-mail address provided during registration.

Conference fees are exempt from VAT in accordance with Section 4 (22) German VAT Act (UStG).

Included in the participation fee: 

By registering and paying the participation fee for the CX ticket, you are entitled to the following services: 

  • Opportunity to participate in all CX event offerings on both days
  • All approved event documents
  • Buffet lunch
  • Refreshments at the designated coffee bars and beverage stations
  • Participation in the award ceremony for the German Logistics Award and the subsequent CX Networking Party on Wednesday

 
Invoice and payment: 
The invoice will be sent electronically to the e-mail address provided during the registration process for the event participant. The invoice amount is due immediately and must be credited to the specified bank account no later than 14 days after receipt of the invoice. You also have the option to pay the invoice immediately via PayPal or by credit card. Only after receipt of payment will you receive your Print@Home ticket as a PDF by e-mail.
 

Participant management: ticket, name badge and access control
After registration and receipt of payment, you will receive your Print@Home ticket as a PDF with a personal QR code by e-mail. On the booked event day, you scan this ticket on site either at one of the counters or at one of the self-service stations and receive your name badge.

  • If you register during the event days, you will receive your name badge directly on site in conjunction with payment of the ticket fee.
  • The name badge grants you access to the event area. By scanning your name badge and matching the data with the event’s database system, the legitimacy of participation will be verified.
  • Please always wear your name badge visibly. Transfer of the name badge is not permitted. Misuse of the name badge constitutes a serious breach by the participant of the terms and conditions of participation and may result in immediate exclusion from BVL Supply Chain CX. We reserve the right to take further legal action, in particular claims for damages. 

By scanning the name badge, participation-related data is collected and processed for the further development and improvement of the event offering. This is done with the greatest possible data minimization and confidentiality.
 

Hotel contingents: 

The use of BVL hotel contingents is tied to participation in BVL Supply Chain CX 2026. With successful registration for the event, you give your consent to be contacted by telephone and e-mail by the hotel team.
 

Photo and film rights: 

  • As part of events, photo and video recordings may be made by BVL and/or by commissioned third parties in which the participant is recognizable. The recordings serve BVL’s own advertising purposes, in particular publication on the internet and in other media. By booking a ticket and participating in the event, the participant agrees to the publication of photos and videos in which they are depicted for the purposes stated above.
  • All image and publication rights remain with the organizer.
  • Recording the event is not permitted.

 
Data protection is important to us: processing, participant directory, partnering

  • Bundesvereinigung Logistik (BVL) e.V. treats your data confidentially and will use it exclusively in accordance with the data protection provisions of the GDPR. By registering, you accept the participation conditions and, in particular, agree that photos, video and audio recordings, as well as your event-relevant personal data, may be used for marketing and PR purposes. You also agree that the data relating to the company you name will be published in the event’s participant directory (online and in print) as well as on the name badge for this event. Mention in the printed participant directory can only be guaranteed for participants who register by October 2, 2026, 3:00 p.m. CEST / GMT +1 (editorial deadline). After the end of CX, an updated participant directory will be made available to all participants in the media library.
  • By participating in the event, you also consent to the transfer of data to our partner companies, in particular to being contacted by our partner companies by e-mail. The visitor’s personal data such as name, company, position and e-mail address may be passed on to partners and sponsors of individual event formats if you attended that session. As a visitor, you agree to be contacted by these partners and sponsors. For more information, please refer to our data protection information.  
    Our partners and sponsors must also comply with the GDPR when handling your data and delete data at the appropriate time. We cannot provide detailed information on this and refer you to the data protection information of the respective company.

 

Cancellation by participants: 

Please understand that ticket cancellations are not possible. In case you are unable to attend, a replacement participant may be named in writing.
 

Rescheduling of the event

BVL reserves the right, at its reasonable discretion, to change the event date and/or venue up to 3 months before the start of the event. In the event of such rescheduling, the event participant will be informed in writing without undue delay. In this case, the event participant has an extraordinary right of cancellation within four weeks of receipt of the notice. The extraordinary cancellation must refer to the rescheduling. Participation fees already paid will then be refunded in full. Claims by the event participant for reimbursement of expenses already incurred for participation in the event or for damages cannot be derived from the extraordinary cancellation.

 

Right of withdrawal for consumers: 

  • If you are a consumer within the meaning of Section 13 of the German Civil Code (BGB) (i.e., a natural person who registers for purposes that cannot be attributed to their commercial or self-employed professional activity), you are entitled to a right of withdrawal in accordance with statutory provisions.
  • Right of withdrawal: As a consumer within the meaning of Section 13 BGB, you have the right to withdraw from the contract concluded with your registration within fourteen days without giving any reason. The withdrawal period is fourteen days from the day of your registration. To exercise your right of withdrawal, you must inform us, Bundesvereinigung Logistik (BVL) e.V., Schlachte 31, 28195 Bremen, Germany, Telephone: +49 / 421 / 173 84 3402, E-mail: ticketing@bvl.de, by means of a clear statement (e.g., a letter sent by post or e-mail) of your decision to withdraw from this contract. If you make use of this option, we will promptly send you (e.g., by e-mail) confirmation of receipt of such withdrawal. To meet the withdrawal deadline, it is sufficient for you to send the notification of exercising the right of withdrawal before the withdrawal period expires.
  • Consequences of withdrawal: If you withdraw from this contract, we shall reimburse you all payments we have received from you without undue delay and no later than fourteen days from the day on which we received notification of your withdrawal from this contract. For this reimbursement, we will use the same means of payment that you used for the original transaction, unless expressly agreed otherwise with you; in no case will you be charged any fees for this reimbursement.

Headset
Selected presentations will be simultaneously interpreted and selected stages will be run as “silent stages”. Appropriate receiving devices and headphones will be provided to transmit the respective audio signal. Your name badge will be scanned when the headsets are issued and returned. The headsets must be returned when leaving the event area. If the headset and/or receiving device is not returned, we will have to charge a fee of €33.00 per headset and €401.00 per receiving device. If you accidentally take the headset with you, you have the option of sending it back to us by post after the event. Please note that we will charge a processing fee of €50.00 for this.

 

Miscellaneous: 
As part of the event, exhibition, sponsoring and media partners accredited and authorized by the organizer carry out advertising activities contractually agreed with the organizer. Any other advertising activities by partners or other persons that deviate from this and are not approved by the organizer are prohibited and will lead to immediate exclusion from the event and, if applicable, further legal steps (e.g., claims for damages).

 

Place of performance and jurisdiction is Bremen, Germany.

The organizers reserve the right to make changes to the program.
